Terms & Conditions
These Terms & Conditions govern all services, treatments, consultations, purchases, and interactions with The Heritage Aesthetics Clinic Pty Ltd (“the Clinic”, “we”, “our”, “us”). By booking an appointment, purchasing a service or product, or attending the Clinic, you agree to be bound by these Terms & Conditions.
1. General
- All services are provided in accordance with Australian health, safety, and regulatory standards.
- The Clinic reserves the right to update or amend these Terms & Conditions at any time without prior notice.
- Current Terms & Conditions are available upon request or via the Clinic’s official platforms.
2. Appointments & Bookings
- Appointments are subject to availability.
- Booking confirmations are not guarantees of treatment and remain subject to clinical assessment and suitability after a fully conducted in person consultation has been completed.
- The Clinic reserves the right to refuse or discontinue treatment if deemed clinically inappropriate, unsafe, or unethical.
3. Deposits, Fees & Payments
- A $250 deposit is required to secure all appointments.
- Deposits are non-refundable and will be forfeited for cancellations made within 72 hours of the scheduled appointment or for NO-SHOWS, unless otherwise stated in writing.
- Appointments may be modified or cancelled more than 72 hours prior without penalty.
- Appointments must be confirmed 48 hours prior or may be cancelled by the clinic.
- Full payment is required on the day of treatment unless prior arrangements are made.
- Prices are subject to change without notice.
Cancellation Policy
We understand that plans can change and we strive to accommodate our clients as best as possible. Please review our cancellation policy below:
- Clients may make modifications or cancel their appointment up until 72 hours prior to their scheduled appointment time without penalty.
- Clients also need to confirm their appointment 48 hours prior to their appointment or it may be cancelled.
- Please note that a $250 deposit is required to secure your appointment slot. In the event of a cancellation after the 72-hour deadline, or a NO-SHOW, this deposit will be forfeited and will not be credited towards future treatments.
- We appreciate your understanding and cooperation regarding our cancellation policy.
- Clients may request modifications up to seven (7) days prior to the appointment. A confirmation call will be made seven (7) days in advance.
Late Policy
We value your time and strive to provide punctual service to all our clients. Please take note of our late policy:
- We have a grace period of 10 minutes for late arrivals. If you arrive within this grace period, we will do our best to accommodate your full appointment as scheduled.
- If you arrive later than 10 minutes, we cannot guarantee that your full treatment can be completed as originally planned. This may result in a shortened session or the need to reschedule your appointment.
- If a patient is more than 10 minutes late to their appointment, it will be considered a NO-SHOW, and they will forfeit their $250 deposit fee and will not be credited towards future treatments.
- If you anticipate being late for your appointment, please text or call our office as soon as possible. We will do our best to accommodate you, either by rescheduling your appointment for a more convenient time or adjusting your treatment as necessary.
- We appreciate your understanding and cooperation regarding our late policy.
4. Consultations & Treatment Suitability
- All treatments are subject to professional consultation and clinical assessment.
- Not all clients are suitable candidates for all treatments.
- The Clinic reserves the right to decline treatment based on medical history, contraindications, unrealistic expectations, ethical considerations, or safety concerns.
5. Medical Disclosure
- Clients must disclose full and accurate medical history, medications, allergies, and relevant health information.
- Failure to disclose relevant information releases the Clinic from liability relating to treatment outcomes or complications.
6. Results Disclaimer
- Individual results vary and cannot be guaranteed.
- Treatment outcomes depend on multiple factors including skin type, lifestyle, genetics, compliance with aftercare, and medical history.
- Before-and-after images are illustrative only and not guarantees of results.
Treatments at The Heritage Aesthetics Clinic are performed in accordance with current clinical knowledge and accepted scientific principles. Individual physiological responses vary, and outcomes cannot be predicted or guaranteed.
Results depend on factors including patient biology, medical history, skin condition, lifestyle, and adherence to aftercare. By proceeding, patients acknowledge understanding of the scientific basis, limitations, and variability of treatment outcomes.
In accordance with Australian regulatory requirements, non-surgical cosmetic clinics are not permitted to advertise specific quantities of prescription medicines, including the number of millilitres (mL) or units used in individual treatments or packages. Personalised treatment planning, including dosage and product selection, is determined only following clinical assessment and approval from the prescribing doctor.
Some treatments offered at The Heritage Aesthetics Clinic involve prescription-only medicine or goods containing a substance and can only be administered by a qualified medical professional. No treatment will proceed without prior assessment and informed consent.
7. Refund Policy
- No refunds are provided for completed services.
- Pre‑paid packages are non‑refundable.
- Unused treatments may be transferred at the Clinic’s discretion but are not guaranteed.
8. Gift Cards
- Gift cards and vouchers are non‑refundable and non‑exchangeable for cash.
- Gift cards and vouchers are valid for 2 years from the date of issue, unless otherwise stated.
- Expiry dates apply and must be used within the stated validity period.
- Gift certificates are applied as a credit to the recipient’s client file upon redemption.
- Gift certificates may be transferred to another individual prior to redemption; however, the clinic must be notified before the appointment is scheduled.
All purchases are redeemable only as in-store credit across services at The Heritage Aesthetics Clinic. Credit does not guarantee any treatment. All services require consultation and medical clearance by a Registered Nurse or Skin Therapist, and treatment suitability is determined at their clinical discretion.
9. Privacy & Confidentiality
- Client information is handled in accordance with Australian Privacy Laws.
- Personal information is used only for clinical, administrative, and legal purposes.
- Confidentiality is maintained at all times unless disclosure is required by law.
10. Photography, Videography & Marketing
- With consent, the Clinic may capture images and videos for documentation, training, and marketing purposes.
- Content may be used across all platforms including social media, website, digital advertising, print media, in‑clinic displays, and marketing collateral.
- Ownership of approved content remains with The Heritage Aesthetics Clinic Pty Ltd.
All photography captured during consultations and treatments for before-and-after purposes is obtained solely for clinical documentation and forms part of the patient’s medical record. Such images are mandatory for treatment record-keeping, maintained in strict confidence, and are not used, disclosed, or reproduced for marketing or promotional purposes, with access limited to authorised personnel in accordance with applicable privacy and record-retention obligations.
11. Client Conduct
- Respectful behaviour towards staff and other clients is required at all times.
- Abusive, aggressive, or inappropriate behaviour will result in refusal of service and potential permanent banning from the Clinic.
12. Clinic Rights
The Clinic reserves the right to:
- Refuse service
- Cancel or modify appointments
- Discontinue treatments
- Enforce these Terms & Conditions
- Protect staff safety, clinical integrity, and business operations
13. Limitation of Liability
To the maximum extent permitted by law:
- The Clinic is not liable for indirect, incidental, or consequential damages.
- Liability is limited to the value of the service provided.
14. Governing Law
These Terms & Conditions are governed by the laws of Australia. Any disputes shall be resolved under Australian jurisdiction.
